At the conference we want to provide the opportunity for other organizations in Victoria to showcase their projects and initiatives.

[edit] Location

The info fair will be set up over the entire weekend of the fall conference.

It will start at the local foods dinner, at the 1st Metropolitan Church at Quadra and Balmoral. It will continue through the weekend, when the conference is happening in the MIchele Pujol Room. Ideally, tables and tackboards will be set up between the Small side entrance of the MPR and the SUb Upper lounge, connecting the two rooms. This maximum available space we have is for 15 tables.

September 27th ACTION: Brandy to contact the UVSS and GSS, thank them for their support, and ask them if they would like a booth. ACTION: Brandy to ask Jamie to ask Tracy Corbett, from the CRD, if they would be interested in a table. ACTION: Brandy to send out partnership letters and ask them if they would like a booth (reply by Tuesday). ACTION: Brandy to ask Sarah Webb if they would like a booth. DECISION: The cost of a booth for groups who do not want to be sponsored is $300.

September 10th

List of potential organizations to be offered tables:

ACTION: Mark to create list of potential organizations to invite, from the Communications list of partners and sponsors;
ACTION: Mark to send a first draft of priorities to Heather;
ACTION: Heather to draft a email to send to organizations, which will include a description of the conference, and the major logistical details. Emphasize that it is fine not to stay at the table for the entire duration of the conference. ie you can just have information (because we want them to participate).
DECISION TO PROPOSE TO TOWN HALL MEETING: Organizations can have a table free of charge and are given two tickets to participate in the conference (but not free tickets to the local foods dinner). This is a way to get engaged people in the room and contributing. As there is a limited number of tables, they will be allocated to the organizations that sign up first. Hopefully this will encourage early sign up.
DEADLINE TO SEND EMAIL: Monday, Sept 10, to be sent to organizations individually and over the weekly email.
ACTION: Mark to book more tackboards.
